*JOB PURPOSE*
As the Accounting Specialist at TAK Logistics, you will be responsible for overseeing all aspects of the Accounts Receivable (AR) function, including managing customer payments, collections, and ensuring AR days outstanding are kept to a minimum. You will develop collections strategies and work closely with clients to ensure timely payments, with a focus on reducing overdue balances, ensuring efficient billing and collections processes, and providing accurate AR reporting. In addition, you will manage key accounting functions to ensure the accuracy and timeliness of financial records. You will be responsible for bank reconciliations, accounts payable (AP), and month-end reporting. Your keen attention to detail, problem-solving skills, and proactive approach will play a crucial role in maintaining our financial integrity while supporting the growth of our company.
*JOB FOCUS*
? *Accounts Receivable Management:* Oversee and manage the full AR process, ensuring timely and accurate invoicing, payment posting, and collections.
? *Collections Expertise:* Take direct responsibility for all collections activities, including client communication, payment follow-ups, and negotiation of payment terms.
? *Cash Flow Optimization:* Support cash flow by accelerating the collection of payments, reducing delays in receiving funds and shortening AR days outstanding.
? *Efficient Financial Management:* Assist with various accounting processes, ensuring all tasks are completed accurately and on time.
? *Detail-Oriented Work:* Ensure financial data is correctly entered and maintained, with strong attention to detail.
? *Proactive Communication:* Work closely with internal teams, vendors, and customers to resolve discrepancies and provide timely updates.
? *Organizational Support:* Provide essential support in month-end closing and regular reporting to assist management in decision-making.
*KEY RESPONSIBILITIES*
*Accounts Receivable Collections Management*
? Ensure that all customer invoices are accurately generated, processed, and posted in a timely manner.
? Monitor AR aging reports and work to resolve any discrepancies between billing and payments.
? Conduct regular follow-ups with clients regarding overdue payments, including sending reminders, making calls, and negotiating payment arrangements.
? Work to resolve customer disputes and escalate issues when necessary, always aiming for a win-win resolution.
? Develop and implement AR strategies that streamline processes and ensure AR days outstanding are kept to a minimum.
*Accounts Payable Management*
? Enter vendor bills accurately into the system.
? Prepare the weekly cheque run.
? Prepare semi-monthly contractor payments.
? Provide regular updates on vendor payment statuses.
*Bank Reconciliation*
? Prepare bank reconciliations for 5+ bank accounts in both CAD and USD, ensuring accurate and timely completion.
*Financial Record Reconciliations and Reporting*
? Maintain prepaid spreadsheets and assist with the exception report process.
? Conduct month-end account reconciliations and assist in month-end support.
? Prepare monthly reports.
? Other maintenance tasks as assigned.
*KPI Scorecard Reporting*
? Prepare weekly scorecard reports and provide financial data analysis support.
*SKILLS AND COMPETENCIES*
? *Formal Education in Accounting:* Degree or Diploma in accounting, finance or related field.
? *Extensive AR and Collections Experience:* Minimum of 3-5 years of hands-on experience in managing AR and collections in a high-volume environment.
? *QuickBooks Proficiency (Intermediate to Advanced):* Strong knowledge of QuickBooks to manage AP, AR, and other financial tasks.
? *Excel Proficiency (Intermediate to Advanced):* Advanced Excel skills for reporting, analysis, and reconciliation tasks.
? *Analytical Thinking:* Ability to analyze AR aging reports, identify trends, and make recommendations for improvements.
