The office administrator is someone who can help us keep up with the demands of a busy professional office while contributing to a pleasant and positive team atmosphere.
*Office Administrator Duties:*
· Assist Partners with billings and collections.
· Assisting with special requests, letter writing/drafting, phone calls, scheduling appointments, etc.
· Assist Partners with community engagement activities.
· Assist partner or partners with email and phone call support.
· Assist other administrative staff in gathering information necessary to billings.
· Prepare document packages for client financial statements, tax returns and related correspondence.
*Qualifications:*
· 1-2 years relevant experience (some familiarity and understanding of how a professional firm operates would be an asset).
· Excellent telephone manner, strong verbal and written communication skills.
· Ability to produce quality documents quickly and to company standards.
· Detail oriented and takes pride and ownership in the quality of work and presentation.
· Proactive, organized, and able to multi-task and prioritize to meet deadlines.
· Team player who takes initiative, thinks critically, asks questions, and is responsible for their own contributions.
*Skills:*
· Digital literacy and research skills, including the ability to analyze the reliability of information.
· Familiarity with standard office platforms, such as Microsoft Office (Word, Excel, Powerpoint), Adobe Acrobat, and Docusign (QuickBooks and CCH iFirm would be an asset).
· Data management and entry skills, including the ability to maintain and improve filing systems.
· Proactive approach to problem-solving and process improvement.
· Interpersonal skills, professional and courteous demeanor, excellent office and phone etiquette, and the ability to diffuse tense situations.
· Ability to work well under pressure and navigate multiple deadlines.
· Accurate record keeping.
· Written communication skills.
· Time management, multitasking, and flexibility.
· Ability to work well independently and in collaboration with others.
Full ? Time
Candidate must be authorized to work in Canada.
Rate: per hour $25 - $35 based on experience.
In person position.
Expected Start date: Immediately.
