We are looking for a dedicated and dynamic *Executive Assistant* to join us in making vacation dreams come true. As the Executive Assistant, you will provide support to multiple C-level executives (CFO, CPCO, CIO,CLO & GC), serving as their key point of contact. In this role you will ensure the smooth functioning of daily operations, leveraging your exceptional administrative, organizational and communication skills to maintain efficiency and drive success. This position will report directly to the Chief People & Culture Officer and will be located in Toronto, ON.

*What You?ll Do:*
* Manage and prioritize complex calendars to schedule meetings and appointments efficiently.
* Coordinate and prepare materials for meetings, presentations, and reports, ensuring accuracy and timely delivery.
* Assist with preparing slide presentations that effectively communicate key messages and data.
* Plan and execute logistics for both internal and external meetings, including agenda creation, minutes, and follow-ups.
* Maintain and organize confidential files, documents, and records.
* Handle all correspondence (emails, calls, letters) with professionalism, ensuring proper prioritization and escalation when needed.
* Arrange complex travel arrangements, managing itineraries across multiple time zones, including accommodations, transportation, and visa requirements.
* Prepare and process expense reports accurately and promptly, ensuring compliance with company policies.
* Collaborate with cross-functional teams to gather data, track progress, and provide updates for initiatives.
* Serve as a liaison between executives, internal stakeholders, and external partners, ensuring clear and effective communication.
* Build and maintain strong relationships with team members and external contacts to support effective collaboration.
* Track and process supplier invoices.
* Compare and google translate documents.
* File, photocopy, scan mail, courier and order office supplies.
*What You?ll Need:*
* Strong technical skills; experience working with MS Word, Excel, Power Point, Visio and Adobe Acrobat
* Exceptional communication and interpersonal skills
* Strong attention to detail with excellent organizational and time management abilities
* Customer-centric approach with a commitment to service excellence
* Ability to excel in a fast-paced, dynamic work environment
* Skilled at managing multiple priorities and multitasking effectively
* Proactive, solution-oriented, and adaptable mindset
* Experience in the travel industry would be considered an asset
* Proficiency in Spanish would be considered an asset
