As an Office Administrator, you will support the smooth operation of our office while overseeing key tasks related to maintenance, data entry, invoicing, estimations, and documentation. Your expertise will be essential in maintaining our fleet, handling administrative duties, and ensuring that all maintenance and trucking-related processes run efficiently.
*Key Responsibilities:*
* Schedule and track regular maintenance for trucks and other equipment. Ensure all maintenance records are kept up to date, including inspections, repairs, and servicing.
* Enter and update data related to truck maintenance, repairs, and operational performance into company systems. Maintain accurate records for reporting and compliance purposes.
* Prepare invoices for maintenance services, repairs, and other trucking-related expenses. Ensure timely billing and follow up on outstanding payments.
* Assist in creating cost estimates for repairs and maintenance services, providing accurate and timely quotes to management and customers.
* Maintain organized records of maintenance schedules, repair histories, and other operational documentation. Generate and file reports on fleet performance, costs, and other relevant data.
* Support the trucking team by assisting with scheduling, route planning, and ensuring that maintenance does not interfere with truck operations.
* Ensure that all maintenance and trucking activities are compliant with relevant regulations and safety standards. Monitor and enforce safety practices.
* Serve as the primary point of contact between the maintenance team, trucking staff, and office management. Effectively communicate schedules, updates, and issues to relevant parties.
*Qualifications:*
* Previous experience in office administration, ideally within the trucking, fleet management, or transportation industry.
* Hands-on experience with vehicle maintenance, repairs, or fleet management.
* Strong data entry skills and experience working with spreadsheets (e.g., Excel).
* Experience with invoicing, billing, and basic accounting processes.
* Strong communication skills and the ability to coordinate between multiple teams.
Job Type: Full-time
Pay: $15.00-$18.00 per hour
Expected hours: 40 per week
