Our boutique law firm in downtown Kitchener, practicing exclusively in personal injury, is looking for a full-time receptionist to join our team for a maternity leave coverage. If you are looking for an entry level position in a growing law firm, we have just the position for you!

Business Hours: 8:30am to 5:00pm, Monday to Friday.
Work Hours: 37.5 hours a week

*How You will Make a Difference:*
* Log, receive and prepare incoming/outgoing mail and faxes firm wide.
* Greet clients and visitors in a professional and friendly manner
* Bank deposits, cheque requisitions and other accounting duties as assigned.
* Perform data entry and maintain accurate client records
* Perform other related duties as assigned.
* Answer and route incoming calls on a multi-line telephone system.
* Follow standard operating procedures.
* Schedule and route clients.
* Maintain and schedule conference rooms.
* Maintain the waiting area, lobby, or other public areas.
* Maintain the firm?s tickler system alongside management.
* Serve coffee or tea to guests.
* Open client files on Soluno.
* Provide general clerical support to the legal team
* Assist with administrative assistant tasks, such as scanning, photocopying, faxing and filing documents digitally using Primafact.
*Skills Required: *
* Positive, upbeat attitude.
* Patience in dealing with difficult visitors, at times.
* Dependable.
* Proficient in using computerized systems, including Soluno and Primafact, and data entry software.
* Strong typing skills with excellent accuracy.
* Previous experience in an administrative or clerical role is preferred.
* Familiarity with legal terminology is a plus.
* Proficient in using Microsoft Suite (Teams, Word, Excel).
* Willingness to learn and grow through constructive feedback.
* Exceptional attention to detail and organizational skills.
* Excellent verbal and written communication skills.
* Ability to prioritize tasks and work efficiently in a fast-paced environment.
* Strong customer service skills with a professional demeanor.
*Education:*
* Administrative Assistant Certificate (asset), or
* College level certificate (asset).
