*Position Overview *
Amada, a global leader in the machine tool business currently seeking an Office Assistant, and offer a competitive compensation package with benefits. The successful candidate will be responsible for all areas relating to reception and office administration, corporate travel, hospitality, and various administrative support tasks. The successful candidate must display initiative and the ability to work independently with strong organizational skills and excellent communication skills.
*Duties and Responsibilities*
*Travel & Hospitality*
· Oversee corporate travel (hotels, flights and car rentals) and support employee use of the system
· Greet visitors and customers
· Assist in preparation/coordination including catering, setup, hospitality arrangements
*Sales Administration*
· Prepare sales quotes
*Accounting Support*
· Send credit reference requests for customers applying for credit and follow-up as required
· Scan new account documents created into SAP (XD02)
· Create files for customers and file labels for new vendors
· File A/P invoices & e-mail or mail invoices to customers
· Cross-reference invoices received with PO numbers to verify in SAP and distribute accordingly
· Enter simple payables (non-purchase orders such as freight, hydro, phone)
· Sort numerically month end journal vouchers & filing
· Match invoices with parent company?s payment schedule
· Download data from travel system to match MasterCard statements
*Office* *Administration*
· Process incoming and outgoing mail
· Answer phones calls and redirect as appropriate
· Run errands for the office
· Maintain inventory of supplies for the office, kitchen, washrooms, and promotional items
· Perform office-related secretarial duties and any other tasks as required by management
*Qualifications*
. Competent with Microsoft Office or similar software (i.e. Word, Excel, PowerPoint or comparable)
· Excellent communication ? verbal, written, and listening (English required; French an asset)
· Ability to work independently and take initiative with minimal guidance; self-starter
· Strong interpersonal skills
· Analytical and problem solving capabilities
· Ability to prioritize effectively
· Time, planning and stress management skills
· Organized
· Detail-oriented
· Previous experience in office administration is an asset
