*Overview*
We are seeking a dedicated and detail-oriented Administrative Assistant to join our team. This role is essential in ensuring the smooth operation of our office, providing support to various departments, and enhancing overall efficiency. The ideal candidate will possess strong organizational skills and a proactive attitude, contributing positively to our work environment.
*Responsibilities*
* Accept all consular related applications.
* Respond to emails and telephone calls on consular matters as well as general queries from the public.
* Prepare all passport applications, including supporting documents, visa applications and other consular forms (Birth and Death Certificates, and Citizenship) for review and signature by Counsellor (High Commissioner in absence of Counsellor).
* Prepare Emergency Certificates for Jamaicans (including deportees) who do not have a valid travel document and who need to travel to Jamaica immediately, for review and signature by Counsellor (High Commissioner in absence of Counsellor).
* Prepare documents for Authentication and Certification.
* Provide updates on number of applications/ documents received and processed in relation to the various categories of consular services, for reporting purposes.
* Assist with the dissemination of information to the public on important updates to consular services.
* Develop and implement a public education programme on consular matters, targeting groups within the community that are most likely to benefit therefrom.
* Assume responsibilities for community liaison, in particular with the Jamaican community organizations within the jurisdiction.
*Skills*
* Proficiency in data entry and administrative tasks.
* Experience working in a medical or dental office setting is preferred but not required.
* Strong organizational skills with the ability to multitask effectively.
* Excellent computer skills, including proficiency in Microsoft Office Suite (Word, Excel, Outlook).
* Exceptional customer support skills with a focus on providing excellent service.
* Ability to work independently as well as part of a team in a fast-paced environment.
