Head Secretary - Class IV <p>MGEU <p>This is a full-time, 10-month permanent position in an Elementary/Junior High School (Grade N-9). <p>Under the direction of the principal, the School Secretary is responsible for the accounting/bookkeeping functions of the school, organizing the school office, school registrations and the day-to-day workflow.<p>The successful incumbent requires excellent organization, interpersonal and team-building skills; and the ability to deal tactfully with all levels of personnel, students, and the general public. The incumbent also requires the ability to meet constant deadlines, interruptions and to adapt with flexibility in job duties. Good organizational skills and the ability to exercise a high level of discretion are essential.<p>Duties and responsibilities may include but are not limited to: <p> Provides secretarial support to the administrator, which includes handling of confidential material<p> Performs all accounting and bookkeeping functions, according to Division policies and procedures<p> Completes reports such as Report of Staff Members, EA timesheets, etc. and compiles appropriate paperwork<p> Maintains student and employee absence reporting system and generates applicable reports<p> Maintains school inventory<p> Greets and screens visitors and appointments; answers all phone calls<p> Types, formats, and proofreads a variety of material including: correspondence, minutes, agendas, policies, procedures, etc. from material provided by the school administrator<p> Organizes and prioritizes independently, the administrative activities for the school administrator and school office, and ensures that all work is completed within established timeframes<p> Takes initiative to handle matters and solve administrative problems not requiring the direct personal attention of the school administrator<p> Contacts parents, volunteers, community members, and organizations when necessary and appropriate<p> Dedication to anti-racism, equity, and diversity<p> Proven commitment to Truth and Reconciliation<p> Proven ability to build collaborated cultures founded on integrity and collective purpose Qualifications: Completion of secondary education, 4 years of office experience and relevant coursework/training<p> 2 years of supervisory experience<p> Proficient in Microsoft Office Word and Excel at an intermediate level <p> Accurate keyboarding of at least 40 words per minute <p> Demonstrated bookkeeping/accounting knowledge <p> Demonstrated experience with division software<p> Ability to prioritize a large workload and work independently <p> Ability to work in a fast-paced environment and work effectively under pressure to meet deadlines<p> Demonstrated problem solving skills<p> Ability to maintain a high level of confidentiality <p>How to apply: <p>Click the button "Apply Online" and log into your account.
