*Job Summary*
The Administrative Assistant is responsible for providing a wide variety of administrative and reception support for Unifor Local 5555. As one of the Local?s first points of contact, the successful candidate will demonstrate a professional, positive, and collaborative attitude toward members as well as internal and external groups. This position is responsible for the tasks involved in the smooth daily operation of the office.
Primary Responsibilities
* Welcome visitors, answer questions (in-person, by telephone, and email), respond to inquiries and refer, when necessary, to the appropriate person for resolution.
* General office duties (including but not limited to): photocopying, fax, maintaining office supply inventory, taking minutes, updating and maintaining databases and filing systems (electronic and hard copy)
* Organizing meetings, room bookings, assisting at meetings (in-person and online)
* Duplicate, distribute, and post materials as required
* Participate as needed in special projects, events, etc.
* Ability to compose simple documents and email communications independently
* Some low level finance-related tasks
*Qualifications and Skills Required*
* Post-secondary diploma/degree in Office or Business Administration, or a related discipline and/or related program
* Experience in a similar role preferred
* Strong interpersonal and communication skills (both oral and written)
* Intermediate-Advanced skill level in MS Office Suite (Word, Excel, PowerPoint, etc.)
* Proficiency in Google Workspace, Zoom, and additional similar programs
* Ability to work with sensitive information with complete confidentiality, while exercising discretion and a high level of professionalism
* Ability to work both independently and in a team environment, and willingness to assist other team members as required
* Ability to prioritize, multitask, and act independently to organize your own time and workload; attention to detail and ability to complete tasks with minimal supervision
* Experience working in a union environment is an asset, but not required
* Basic knowledge of web design and maintenance is a bonus
*Additional Information*
* Part-time position, with some schedule flexibility
* In-person position, with some flexibility
* Location: McMaster University Main Campus, Gilmour Hall building
