*Job Overview*:
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our CEO. The ideal candidate will manage the CEO's inbox, handle scheduling and calendar management, oversee communications, and assist with key human resources tasks such as onboarding. The Executive Assistant will ensure the CEO?s time and attention are efficiently managed, while also handling additional tasks as needed.
*Key Responsibilities*:
* *Inbox Management*: Organize and prioritize the CEO's inbox, ensuring timely responses to important emails and flagging urgent matters.
* *Scheduling and Calendar Management*: Coordinate the CEO's calendar, scheduling meetings, appointments, and events. Manage any changes or conflicts.
* *Correspondence Handling*: Send, receive, and manage all communications (emails, calls, and letters) directed to the CEO.
* *Research*: Conduct research on a variety of topics as requested by the CEO, summarizing key information and providing recommendations when necessary.
* *Meeting Planning and Execution*: Organize and facilitate meetings, including booking venues, preparing agendas, and handling follow-up actions.
* *Human Resources Support*: Assist with onboarding new employees, including preparing documentation, scheduling orientations, and ensuring a smooth transition for new hires.
* *Additional Tasks*: Take on other responsibilities and tasks as requested by the CEO, maintaining flexibility and a solution-oriented mindset.
*Qualifications*:
* *Proven experience* as an Executive Assistant or similar role.
* Exceptional organizational and time management skills.
* Strong communication skills, both written and verbal.
* Proficiency in using office software (e.g., Microsoft Office, Google Workspace).
* Ability to manage multiple tasks and prioritize effectively.
* Discretion and confidentiality in handling sensitive information.
*Preferred Qualifications*:
* Familiarity with HR functions, particularly onboarding processes.
* Experience researching and summarizing data across different industries or topics.
