*Summary:*
We are currently seeking a motivated and organized individual to join our team in the role of Administrative Analyst, with potential for growth.? Working within a team of Property Managers, Analysts, and Leasing Analysts, you will be responsible for providing reception coverage, supporting our asset management and brokerage teams.
The Administrative Analyst will perform a variety of duties to support the Property Analysts in addition to providing reception coverage and working closely with senior real estate agents.
*Required Skills and Abilities:*
* 1-2 years administration experience; excellent ability to organize information electronically and follow rigorous filing systems and naming methodologies
* Strong organizational skills, accuracy and attention to detail are essential
* Enjoy working with people and display a professional and positive attitude at all times
* Experience in dealing with multiple demands and tasks simultaneously
* Proficient with Office365, particularly Excel, Word and Outlook
* Ability to communicate effectively and professionally, oral and written, both internally and externally
* Willingness to perform a range of duties
* Work in a team in a fast-paced environment
*Duties and Responsibilities:*
* Reception backup duties including:
* Ensure every visitor and client is warmly welcomed, offered refreshments and escorted to a meeting room
* Operate a multi-line switchboard, answering and transferring incoming phone calls
* Process incoming and outgoing mail, including opening, dating, sorting and distributing, and arrange for couriers
* Keep mailroom and kitchen tidy including loading and unloading dishwasher
* Open and close reception.

* Additional duties include:
* Tracking critical timelines such as, insurance certificates for vendors and tenants, annual payments, budgets, reconciliations, and financial statements;
* Assisting the Property Managers in any type of work requested;
* Handles utility tracking and implements changes with utility companies where necessary;
* Assisting senior real estate agents with all tasks including but not limited to site selection lists/spreadsheets, market analyses, legal documents, legal searches, filing, organization and miscellaneous administrative tasks ;
* Collaborating effectively with team members throughout the business, from all levels;
* Making use of knowledge of standard office administrative practices and procedures.
