Reporting to the Operations Manager, the *Office Administrator* is responsible for a wide variety of duties such as offering administrative support to the team, fielding telephone calls and emails, greeting clients, using spreadsheets, word processing and CRM software to ensure the smooth-running of the business. Strong communication skills, the ability to work with confidence independently, and computer and typing skills are required.
*Essential Duties and Responsibilities*
* Prepare and oversee all incoming and outgoing communications: phone calls, reports, memos, emails, staff updates, and correspondence with clients
* Handle a high volume of email enquiries
* Take detailed and accurate meeting minutes
* Maintain the administrative operating system (CRM software)
* Data entry (sales figures, new jobs, leads progress etc.)
* General office management such as ordering office supplies
* Plan and organize events such as fundraisers, sporting tournaments, and appreciation events
* Provide administration support to all members of the team
* Manage agendas/travel arrangements/appointments etc. for the upper management
* Support budgeting and bookkeeping procedures by organizing accounts receivable, taking payments, making collection calls etc.
* Lead/assist in the administration of the storage units onsite
* Maintain fleet vehicle license?s, insurance, inspections and maintenance records
* Create and update records and databases with personnel, financial and other data
* Maintain office cleanliness
* Other tasks as assigned
*Requirements*
* Completion of secondary school is required, graduating from a relevant college program is an asset
* Consistently exhibiting a positive attitude and a desire to learn and improve
* Work with a high degree of discretion and confidentiality
* Elevated communication skills, both verbal and written
* Experience operating ?Monday? software is an asset
* A background in administration within the construction industry is as asset but not required
* Possess excellent time management, problem solving and organizational skills
* Ability to work independently with confidence for extended periods of time
* Ability to proactively adapt to changing priorities throughout the workday
* Adept in using a variety of software packages including Microsoft Word and Excel is required
* High level of professionalism within an office space is required
