We?re on the lookout for a spirited Administrative Assistant who thrives in a fast-paced setting and loves the idea of supporting a team that?s making a real difference. Your role will be pivotal in helping us streamline our operations and enhance our services.
Job Summary
Reporting to the Executive Director, our ideal new team member will be passionate and detailed with a strong understanding of communication platforms, adept with advanced technology (Office 365 ? excel, databases, online platforms), and ability to learn financial systems such Quickbooks online.
Primary Duties and Responsibilities
Administrative Assistant:
* Supports communications and responds to enquiries from members and the public through multiple channels, including email, written correspondence, newsletters, and the Division website.
* Provides scheduling and logistic support for meetings, takes minutes, distributes meeting materials, and follows up on action items as necessary.
* Provides administrative support for operations, finance and supports project staff, as needed.
* Assists in the coordination of member events by organizing venues, catering event materials, and registration.
* Supports financial administration, as needed, with finance processed (invoices, accounts payable, contracts, approvals, payment, and filing).
* Updates the Division website and administers lists and databases to ensure information is accurate and current.
* Supports program evaluation activities by collecting information and collating data, as required.
* Orders office supplies and liaises with vendors, as needed.
* Perform general office duties as required
Required Skills, Qualifications and Experience
The successful candidate will have:
University degree, or high-school graduation and related post-secondary education, and three years administration, preferably in a healthcare or non-profit setting.
* Provide timely and efficient response to inquiries from members, staff, external stakeholders and the public.
* Excellent technology and software skills with interest and ability to learn new systems (Zoom, Website Content Management, Mass Email Platforms, Adobe PDF).
* High proficiency in Microsoft Office 365, (Sharepoint, Outlook, Excel, Word, Powerpoint, etc.)
* A problem-solver who?s quick on their feet and eager to learn new systems and technologies.
* Excellent verbal, written and organizational skills, and attention to detail.
* Proven experience with meeting scheduling and logistics, preparing and distributing materials
* Experience with efficient office organization, including establishing and maintaining electronic files on SharePoint.
* Experience with financial processes and procedures and vendor services
* Able to perform multiple tasks, balance priorities and meet deadlines independently.
* Familiarity with non-profit sector organizational operations an asset
* Must have reliable vehicle.
The position offers the following benefits:
Flexible weekly schedule ? Up to 35 hours a week, manage your own time in your home office
